We’re searching for a Program Support Coordinator -- someone who works well in a fast-paced setting. In this position, you will independently perform routine administrative support and coordinate projects including but not limited to specialized planning, organizing, scheduling, and tracking duties related to departmental needs. Helps analyze and track the results of efforts. Establishes close working relationships with stakeholders, key colleagues, and vendors who provide services and information. Maintains an understanding of department operational priorities.

Job Duties & Responsibilities

  • Provides Clerical Support for Service Activities. Coordinate ongoing and special strategic and program-related projects
  • Prepares necessary information in support of annual planning for upcoming meetings/events
  • Request materials/documentation for projects, including but not limited to appeals, mailings, announcements, emails, and other required forms
  • Coordinate input from the manager and other internal/external to create a detailed project plan for each effort (tasks, risks, issues, team resources, etc.)
  • Drive creation and timely delivery of projects
  • Coordinate internal and external team member communication
  • Coordinate schedules, including requests for products and tasks from internal and external team members
  • Answers telephone promptly and courteously and deliver accurate, messages to the appropriate person Triage inquiries from external constituents in a prompt and courteous manner regarding programs or messages, responding or forwarding as appropriate with no more than four documented complaints per year
  • May maintain inventory of department equipment/supplies and orders -replacements as needed.
  • Provide data management and support.
  • Provides Administrative Support to Service Specific Program
  • Performs other essential job-related functions

Skills & Requirements

  • Required H.S. Diploma or equivalent
  • Preferred bachelor's degree
  • Required 2 years of Administrative and/or program support experience with  
  • Preferred 3 years of Project management experience
  • A bachelor's degree may substitute for the two years of required experience.
