We’re hunting for an Executive Assistant, Sr, someone who’s ready to be part of the best ranked children’s hospital in Texas, and among the best in the nation. In this position, you will perform a variety of complex, confidential duties requiring the exercise of discretion and independent judgment in the Office of the Senior Vice President (SVP).

Job Duties & Responsibilities

  • Juggle multiple, high priority issues in a professional, courteous manner on an on-going daily basis
  • Coordinate and accurately maintain the SVP’s daily appointment calendar. Make alternative arrangements with conflicts of scheduling
  • Coordinate and accurately maintain the team calendar
  • Open all mail addressed to the SVP and prioritize it for review, action or signature. Distribute or perform needed operations. Retrieve documents and mail from the SVP’s office and take action to handle daily by distributing to needed parties or performing needed operations
  • Screen incoming emails to provide the best utilization of the SVP’s time by updating the calendar for scheduling meetings and when appropriate, responding to sender of incoming emails
  • Maintain responsibility for keeping the SVP informed of important matters by consolidating monthly and quarterly manager communication
  • Coordinate a variety of tasks, events, or special projects in support of Executive’s function and department
  • Coordinate travel plans for the SVP by arranging airline tickets, hotel accommodation, rental car and any additional accommodations as requested by the SVP
  • Provide support during travel planning for other team members
  • Schedule meetings for domestic and international trips
  • Establish and maintain professional and amicable relationships with Board members, Executives, medical staff, hospital personnel and outside vendors responding promptly concerning inquires and requests for information, as well as coordinating appropriate follow-up
  • Maintain the SVP’s procurement card by tracking all expenditures and verifying receipts. Balance report with receipts and bank statement monthly through WORKS. Provide Accounting with a complete and balanced copy of all statements and receipts with proper approvals. Responsible for handling all discrepancies, returns and/or credits
  • Maintain procurement card and other expense reimbursements for all team members, including Directors, Managers, and Analysts

Skills & Requirements

  • H.S. Diploma or GED required
  • At least 7 years of administrative experience required
  • Administrative experience supporting executives preferred
  • College coursework may be substituted on a year-for-year basis:
    • Associate’s degree may count for 2 years of experience
    • Bachelor's degree may count for 4 years of experience
    • Master's degree may count for 6 years of experience
