We are searching for an Assistant to the In-Chief -- someone who works well in a fast-paced setting. In this position, you will provide highly responsible administrative support to a Physician In-Chief resulting in effective communication internally and externally and assisting the multiple competing requests for the In Chief’s time.

Responsibilities :

 Job Duties & Responsibilities

  • Assist In-Chief with maintaining daily calendar, manage all phone calls, prepare correspondence, schedule meetings, and coordinate other communication, as well as other duties as assigned
  • Compose, transcribe, type and proofread correspondence according to Hospital graphic standards and by deadlines established by the In-Chief
  • Make travel arrangements to include hotel accommodations, transportation, and registration
  • Perform monthly reconciliation of procurement card
  • Screens incoming calls to provide the best utilization of the In-Chief’s time by answering the telephone in a friendly, professional manner, directing calls immediately upon request, transmitting messages immediately and responding to requests for assistance
  • Potentially, screens incoming emails to provide the best utilization of the In-Chief’s time by printing out attachments, updating In-Chief’s calendar for scheduled meetings and notifying others as appropriate of change in appointments
  • Collects, prepares and distributes monthly management report from Physician In-Chief’s direct reports by established deadlines


Skills & Requirements

  • Being fully vaccinated against COVID-19 is required for all employees unless approved for a medical or religious exemption
  • High school diploma or GED required
  • Bachelor’s degree preferred
  • 5 years executive secretarial or comparable administrative experience required
